This policy explains how Clubhouse Tutoring handles information collected through this website and its contact forms. It covers family inquiries, school partnership requests, and tutor applications. If you begin tutoring or a school partnership with us, any additional service-specific privacy information will be provided separately.
Information you share
- Parents and guardians: your name, email address, phone number, your child's name and grade, and the area of support you are interested in. You may also include a message or information about diagnoses. Diagnosis information is optional; share only what you are comfortable sharing.
- School contacts: your name, email address, school or organization, role, approximate number of students, desired timeframe, area of support, and any message you provide. Please leave student names and identifiable student records out of an initial inquiry.
- Tutor applicants: your name, email address, resume, and any information you include about your experience, qualifications, availability, and interest in the role. Please do not include government identification numbers, banking details, or other unnecessary sensitive information.
Family inquiries should be completed by a parent or guardian, or an adult learner contacting us for themselves. Please share information about another person only if you are authorized to do so.
How we use your information
We use inquiry details to respond to you, understand the support you are looking for, and discuss next steps. We use application details to assess suitability for a tutoring role and communicate about the application. We also use technical information to operate the website, investigate problems, and prevent spam and misuse.
Submitting a form does not subscribe you to a marketing mailing list.
Email and service providers
Form submissions, including any resume attachment, are delivered to our website email inbox. Our website hosting and email services process this information to deliver and store your message. Clubhouse team members handling your inquiry or application may review it and follow up by email or phone.
We also use the email address you provide to send an automatic receipt confirmation. That confirmation does not include your form details or attachments. Repeated confirmations may be limited to prevent misuse.
Cloudflare provides the spam verification and website analytics described below. Service providers may process information outside your province, state, or country, where different privacy laws may apply. Information may also need to be disclosed when required by law.
Website information and spam protection
When you submit a form, it includes the page address and your browser's time zone. Our hosting service may record technical request information, such as IP addresses, requested pages, browser information, and timestamps, in server logs.
Our contact forms use Cloudflare Turnstile to distinguish people from automated traffic. Cloudflare processes technical signals, including your IP address, browser information, and the website being visited, to provide and improve its bot protection. Our verification request sends the verification token and IP address, not your message, diagnosis details, or resume. Read the Cloudflare Turnstile Privacy Addendum for details.
The form's abuse-prevention records contain hashed identifiers, timestamps, and counters to limit repeated or duplicate submissions. They do not contain your readable name, email address, message, or resume. These records are separate from the email containing your submission and from hosting logs.
The website's contact-form code does not use advertising cookies or store your submitted message in browser local storage. Security services may process browser information as described in their privacy notices. Links to other websites are subject to those websites' own privacy policies.
Website analytics
We use Cloudflare Web Analytics to understand visits, which pages people view, and how quickly our website loads. This helps us improve the website. Cloudflare Web Analytics does not use cookies or browser local storage to collect usage metrics, and does not track individual visitors across websites.
We do not send contact-form entries, messages, diagnosis details, or resumes to Web Analytics. Learn more about Cloudflare Web Analytics.
Keeping and protecting information
Messages and attachments remain in our email system after delivery, and replies may become part of that correspondence. Retention depends on the purpose of the inquiry, any ongoing relationship, and applicable recordkeeping requirements. This form does not automatically delete a message from our inbox after it is sent.
We use HTTPS, restricted access to server configuration, and verification and rate limits to protect form submissions. No website or email system can guarantee complete security. Please avoid sending information that is not needed for your inquiry.
Your choices and privacy requests
You can leave optional fields blank or ask us about information you have already shared. To request access, a correction, or deletion, or to withdraw consent for future use, use our contact form and include “Privacy request” in your message.
We may need to confirm your identity and, for a child's information, your authority to act on their behalf. We will consider requests under applicable privacy law and explain any information we need to retain. Withdrawing information needed to respond to an inquiry or assess an application may limit our ability to continue.
Changes to this policy
